ICDISPUTE – Professionalisation of Disputes
ICDISPUTE goes further than the extensive options in ICRECON and offers the "professionalization" of any disputes. The administrator defines the rules and procedures to be followed and monitors their application. If these are not followed, information is automatically sent to other involved persons via e-mail. Depending upon the level of escalation, different recipients can be selected and included in the process. Apart from this automated information, ICDISPUTE makes extensive analysis options available for open cases, which permit targeted optimization of the procedures.
The Dispute
Any user with access rights to the invoice can begin the dispute at the invoice level. Whether it is the creditor, the debtor or the netting center is of no consequence The dispute is also independent of the status of the debt. It does not matter whether it is in reconciliation or if it has already been paid. The dispute can be started at any time.
The Escalation
ICDISPUTE monitors both the time that the addressed contracting party takes to answer and the overall duration of the dispute. You specify the permitted waiting time. As soon as this time has been exceeded, tm5 will escalate the dispute by informing the contact stored in the system that the two companies did not agree within the specified time. This means that people otherwise not involved in the reconciliation can be included in the case.
The escalation makes it possible for the involved parties to be heard in the right places, so as to finally resolve a particularly complex case. The escalation is controlled by the system and cannot be stopped by any of the parties before they have both agreed on the final solution and this has been confirmed in the disputed case.
Statistics
Due to the option to require a reason for the dispute, the financial controlling department always has the option of determining who is involved in disputed cases, how often and why. In addition, the size of the disputed amounts and the time taken to resolve the dispute can be determined at any time. This is an important basis for the optimization of the frequently opaque procedures for processing and making payments in intercompany relationships.
